Refund Policy

This policy applies to workshops, clinics, and private chart reviews booked with System Olive Hub Co., Ltd.. Fees are for in-person training—not software, physical goods shipped by post, or subscription access.

1. Deposits

Workshop deposits of ฿5,000 reserve your seat. Deposits are non-refundable if you cancel within fourteen days of the start date, except where section 3 applies.

2. Full refund eligibility

You receive a full refund of amounts paid if:

• You cancel at least fourteen days before the session start date;
• We cancel a cohort due to insufficient enrollment or instructor illness; or
• You notify us within forty-eight hours of booking when the session is more than twenty-one days away (cooling-off for new reservations).

3. Partial refunds

Cancellations between seven and thirteen days before start receive a fifty percent refund of total fees paid, excluding non-transferable printed materials already prepared with your name.

Cancellations within seven days receive no refund, but you may transfer once to a later date within six months if a seat exists.

4. Transfers & rescheduling

One free date transfer is allowed if requested fourteen or more days ahead. Additional transfers incur a ฿1,000 administrative fee. Private chart reviews may reschedule once without fee if we receive twenty-four hours notice.

5. No-shows

Failure to attend without prior notice forfeits all fees. Partial attendance on multi-day intensives does not reduce the fee unless we cancel remaining days.

6. Work already started

If you leave a session early for personal reasons after day one of an intensive, no partial refund applies. If we determine that prerequisite skills were misrepresented in your pre-workshop questionnaire, we may offer transfer rather than refund at our discretion.

7. Materials purchased on your behalf

Occasionally we order named workbooks or chart packs before a cohort. If you cancel after materials printing, the cost of custom materials (up to ฿800) may be deducted from any refund.

8. Non-refundable items

• Deposits forfeited under section 1;
• Administrative transfer fees;
• Completed private chart reviews;
• Alumni re-sit fees once the session has commenced.

9. Refund process & timing

Email hello@system-olivehub.click with your booking reference. Approved refunds return via the original payment method within fourteen business days. Bank fees charged by your institution are outside our control.

10. Exceptions

Medical emergencies documented within seven days of a session may qualify for credit toward a future cohort instead of cash refund. We evaluate cases individually.
